Volunteer & Special Events Coordinator

Location: Rives Junction, Michigan
Hours: Full Time

Position Description:
This position mainly entails leadership for two key components of Youth Haven's ministry. First, as Volunteer Coordinator the right candidate will be responsible for the coordination of Youth Haven's volunteer program at both the Michigan and Arizona campus locations. He or she will work in conjunction with department heads to recruit, screen, schedule and recognize all of those who give their time to help Youth Haven's ministry each year. As the Special Events Coordinator, this position will be responsible for the coordination of Youth Haven's special events held throughout the year at both campus locations. This includes planning, organizing, and executing each event, as well coordinating volunteer and staff involvement with each.

Principal Responsibilities:

Volunteer Coordination:

  • Survey staff regularly to assess needs for volunteer assistance
  • Coordinate and schedule volunteer activities at Michigan and Arizona campus locations, in conjunction with leadership staff responsible for the particular area in which the volunteer will serve (i.e. Campus Managers, Program Leads, Director of Operations, etc.)
  • Develop and prepare materials for volunteer training and engagement, including policies, procedures and expectations for those involved with serving at Youth Haven
  • Conduct and/or arrange for volunteer orientation and training
  • Develop regular communication tools, including email newsletters & mailings, to keep interested individuals informed of different volunteer opportunities at Youth Haven throughout the year
  • Recruit new volunteers through community outreach events, personal visits, phone calls, mailings, and other avenues to let people, churches, and groups know of volunteer opportunities and needs at Youth Haven
  • Perform administrative activities related to individual and group volunteer service at Youth Haven. This may include writing and mailing letters and emails, making phone calls, performing background checks, and personally welcoming and collecting necessary information from volunteers
  • Develop and implement a volunteer recognition program to ensure each volunteer understands how important they are to Youth Haven's ministry

Event Coordination

  • Lead the planning and coordination of Youth Haven's special events, held throughout the year at both campus locations
  • Oversee scheduling of guest speakers and musicians involved with Youth Haven's events
  • Manage and coordinate event preparation, including decorations, menu choices, volunteer engagement, staff assignments, outside guest involvement, and venue choice and booking for each event
  • In coordination with the Director of Marketing & Communications, develop strategies to promote each event and create materials for the event itself as needed
  • Develop benchmarks to evaluate each event's purpose as well as effectiveness and achievement of stated goals

General Responsibilities

  • Assist with entering information related to volunteers and events into Youth Haven's constituent database
  • Develop volunteer program and event budgets
  • Travel to Arizona to assist with events or volunteer oversight
  • Assist with other tasks as time permits

Qualifications and Requirements:

  • Must love Jesus and have an active, growing relationship with Him!
  • Must have a passion and vision for children and teen ministry, specifically disadvantaged youth, as well as a desire to help guide and support a team of staff & volunteers who share that passion and vision
  • A sincere and deep commitment to Youth Haven's mission and values
  • Be a contagious and consistent Christian role model inside and outside the ministry of Youth Haven
  • Bachelor's degree from an accredited institution
  • Proven experience in managing people either as staff or volunteers
  • Proven experience developing and executing events
  • Excellent communication skills, both written and spoken
  • Possesses solid public relations ability with a professional image
  • Self-motivated, creative and organized
  • Ability to effectively manage a wide array of tasks, projects, and responsibilities
  • Proficient in Microsoft Office, Excel, and computers in general
  • Knowledge of Raiser's Edge software or similar database program a plus
  • Knowledge and experience with Adobe's Creative Suite software a plus
  • Willingness to travel as needed
  • Flexibility is essential
